Team Azalea Charities
Volunteer Task Coordinators
(January – October 2011)

The volunteer positions listed below range from a commitment of a number of hours to lead our entire 2011 Team Azalea Charities fundraising project, to just a handful of hours over the coming months to help recruit runners for our 2011 Team, provide other administrative support to our Project Lead for the October MCM events, or lead one of our premier service offerings (expo booth, pasta lunch, finish line tent) for the Marine Corps Marathon and 10K in October 2011.  Except for the coach or training coordinator (new position for 2011), no special skills or running experience is required to support any of these volunteer activities.   

Overall Team Azalea Charities (TAC) Project Lead:

  • Lead 2011 TAC fundraising project tasks and recruiting of coordinators to execute the activities highlighted below.   Acts as primary interface with the officers of Azalea Charities, Inc., to include the charity President, CEO and Founder, and CFO. Primary focal point with the MCM Charity Partnership program coordinators who are employed by MCM.  Attend MCM charity summit at Quantico in late January 2011 and orchestrate the activities of the volunteer coordinators and their tasks through execution of the marathon event on Sunday, October 30, 2011

General Team Azalea Charities’ Administrative Support to our Project Lead

  • MCM Team Captain – Act as primary interface with all our prospective runners and team members who register for Team Azalea Charities for MCM or as individual fundraisers doing their own events in 2011.  Answer questions via email on registration and fundraising page set-up.   Send each runner a ‘welcome’ email upon registration and follow-up with monthly emails to all runners with encouragement on fundraising and MCM race weekend details.  Interface with MCM registration coordinator and download team member race registration information from Team Azalea Charities registration site on Active.com and transfer information into the MCM’s registration module (also on active.com) to formally register each runner for the MCM marathon or 10K.   After the MCM registration deadline in August and before the cut-off for transfer registration in early October, work with the MCM registration coordinator to make any runner substitutions (transfers).  Generate team roster for checking in runners at the Team Azalea Charities booth at the MCM expo, our pasta lunch at Uno’s, and finish line tent at Charity Village.

  • Recruiting coordinator -- Help our Team Azalea Charities Project lead market our availability of race bibs for the Marine Corps Marathon and 10K (October 30, 2011).  Also help promote athletes to compete in other individual events of their choice as their Aid for Wounded Warriors fundraising venue for 2011.   Also develop recruiting flyer for 2012 events (updating 2011 flyer), to be included in runner race packets and for handing out at the MCM health and fitness expo to prospective runners for 2012.

  • Individual Fundraising coordinator – Work with MCM Team Captain to assist team members with fundraising ideas.  Also work with Azalea web master to expand fundraising toolkit online as resource site for first class fundraising materials (e.g., business cards, flyers, memos to corporate sponsors, press releases, etc.).

  •  

      Corporate Fundraising coordinator – Help our Team Azalea Charities Project Lead to reach out to corporations interested in donating to our Aid for Wounded Warriors project and being a corporate sponsor to offset our Team Azalea Charities operating expenses.  Identify appropriate focal points within companies, update our 2010 sponsorship letters and sponsorships levels for 2011 and distribute to prospective firms.  Obtain corporate logos for inclusion on our web page, t-shirts, and sponsor banners for MCM race weekend.

    • Recognition coordinator – Help our Team Azalea Charities Project Lead  in drafting and distributing thank you memos and receipts to donors for their check donations (online credit card donation recipients receive an auto-generated email thank you note and receipt).  Also procure three recognition awards for our top fundraisers in 2011.

    • T-Shirt coordinator – Work with MCM Team Captain to estimate the number and sizes of race shirts required and with our Volunteer Coordinator for the number and sizes of volunteer shirts required.  Purchase shirts and finalize any new design, working with vendors used in 2010 or new vendors if desired.   

    • Coach and/or Training coordinator (New in 2011) – Work with our MCM Team Captain to provide online training advice to team members, and if located in the Washington D.C. metropolitan area, be willing to organize some weekend training runs.

    Marine Corps Marathon (MCM) Weekend Event Volunteer Leads:

    • Race Weekend volunteer coordinator – Lead our volunteer recruiting efforts to help our Expo, Cheering Squad, and Finish line coordinators fill our race weekend volunteer positions described at: http://www.azaleacharities.com/events/marine_race_volunteers.shtml

    • MCM Running Expo coordinator (27-29 Oct, 2011)  – lead our Team Azalea Charities volunteers staffing our booth at the Health and Fitness Expo at the Washington Convention Center on Friday-Saturday, 28-29 October 2011.  Also involves assembling all items needed at the expo booth (including runner packets with race shirts, previous year t-shirts and cow bells for sale, etc.), delivering items to the Convention Center on Thursday, 27 Oct 2011, and making arrangements for pick-up of all unexpended items on Saturday, 29 Oct at 7 p.m. 

    •  MCM Pasta Lunch coordinator (October 29, 2011)  – Lead the effort to organize and execute the pasta lunch for our runners and guests at Uno’s Chicago Grill at Union Station, 1 p.m. – 3 p.m., Saturday, October (50 Mass Avenue, NE, Washington D.C. 22002).  Duties also involve reserving the restaurant with the Uno’s charity event coordinator, selecting a menu, facilitating the contract with the restaurant, releasing an eVite invitation to runners to solicit RSVPs, calling in the RSVP numbers to the restaurant 6 days before the lunch, coordinating with our charity CFO to pay the restaurant bill, and working with our Charity President on the program for the actual luncheon.

    • MCM Finish Line Charity Village coordinator (29-30 Oct 2011) – lead the logistics efforts associated with the estimating and purchase of food, set up (Sat., 29 Oct) and tear down of our tent space (Sun., 30 Oct, 4 p.m.), and leading race day volunteer staff handing out food and beverages to runners at the finish line (6:00 a.m. to 4 p.m., Oct 30, 2011).
